Seek Support for ECM System Adjustments

Poquoson, VA - April 24, 2008 - Business that initially deploy enterprise content management (ECM) systems departmentally and later expand these solutions throughout the enterprise often have a difficult time modifying a single ECM platform to meet the diverse needs and applications of multiple business units.
A recent educational session at the ECM industry’s foremost annual tradeshow, the AIIM Exposition & Conference, illustrated just how helpful a trusted solutions provider can be in addressing this challenge.
The session was entitled “Orchestrating Business Processes In An Ever-Changing Environment” and was co-presented by Mike Wells, manager of information systems technology for Chesterfield County, VA, and members of Chesterfield County’s systems integration partner, Unity Business Systems.
Chesterfield County had originally been tasked with deploying an electronic document management system to provide simultaneous and secure access to the county’s 7,500 HR records.
Unity Business Systems assisted the county in developing scanning procedures and a standard indexing template to transform these documents into electronic images and store them in a Laserfiche document management repository.
The HR application also required a customized and complex security model. The solution Unity Business Systems initially deployed fir the needs of Chesterfield County’s HR department perfectly.
However, when the county decided to expand the solution to address all records retention and disposition policy enforcement procedures, it was realized that the HR department didn’t mesh with the county’s overall records management requirements.
To address this challenge, Unity Business Systems created a system where the records management application handles all retention policies for the county and then select documents are placed in a “shared” folder so individual departments can still utilize their distinct access protocols.
This solution helped Chesterfield County leverage the benefits of the content management throughout the organization without sacrificing the user capabilities of any one department.
